Importing Your Purchase History

Track what you paid so CardZen can calculate your profit

Why import purchases?

  • Purchases are the foundation of profit tracking — without a cost basis, CardZen can't calculate P&L
  • When you import purchases, CardZen creates placeholder cards and auto-batches
  • When you later capture those cards, the auto-link engine connects them to their purchase automatically
  • You can import at any time — purchases link to cards retroactively too

4 Ways to Import Purchases

eBay Auto-Sync

Recommended for eBay buyers
  • Connect your eBay account in Settings
  • CardZen pulls your purchase history from the last 60 days
  • Each purchase appears with seller, price, date, and item details
  • Confirm each one — set the type (single, lot, box, etc.) and quantity
  • Tracking numbers and shipping status sync automatically

CSV Upload

Best for bulk historical data
  • Great for importing months or years of purchase history at once
  • Required columns: purchase_date, type, seller, quantity, subtotal
  • Optional: source, order_number, shipping, tax, fees, discount, notes
  • Download a template from the upload dialog
  • Preview your data before importing — CardZen auto-maps columns

AI Quick Add

Best for receipts and invoices
  • Upload a photo of a receipt, screenshot of a DM, or an invoice PDF
  • AI extracts: seller, date, cost breakdown, and individual card line items
  • Preview the parsed data before saving
  • Costs 1 token per use
  • Works on both web and mobile

Manual Entry

For card shows, private sales, trades
  • Full form with: seller, date, source, type, quantity, cost breakdown
  • 16 source options: eBay, Goldin, Heritage, card show, social media, private sale, etc.
  • Cost breakdown: subtotal + tax + shipping + fees - discount = total

What happens after import

  • For singles: placeholder cards are created (1 per quantity), linked to the purchase
  • For lots/boxes: a lot container card is created, linked to the purchase
  • An auto-batch is created for each purchase with status "awaiting capture"
  • When you photograph cards into these batches, they replace the placeholders
  • Purchase workspace shows a journey tracker: Ordered → Shipped → Arrived → Captured → Linked → Ready

Tips for bulk onboarding

  • Start with eBay sync to cover recent purchases automatically
  • Use CSV for anything older than 60 days
  • You don't need to import everything on day one — import as you go
  • Purchases without photos still show up in reports and P&L
