Tracking Grading Submissions

From submission to slab — track every step

Overview

  • CardZen tracks the full grading lifecycle: Preparing → Submitted → At Grader → Grades Posted → Shipped Back → Completed
  • Supports PSA, BGS, SGC, CSG, HGA, and others
  • Kanban board and table views let you visualize your submissions

Creating a Grading Submission

AI Quick Add (recommended for existing submissions)

  • Upload a photo of your PSA invoice, BGS submission form, or grading results PDF
  • AI extracts: grading company, service level, submission number, cost per card, and individual card details
  • Preview the parsed data, then confirm
  • Works on web and mobile — costs 1 token

Manual Entry

  • Enter: grading company, service level, submission date, total cards, cost per card
  • Cost breakdown: per-card fee, shipping (inbound + outbound), insurance, prep fees, service upgrades
  • Add cards to the submission one by one from your inventory

From Batch Review

  • During batch review, set a card's destination to "Grade" and choose the company (PSA, BGS, etc.)
  • Cards marked for grading appear in the Grading Queue
  • The Grading page shows a banner: "23 cards ready to submit — 12 for PSA, 8 for BGS, 3 for SGC"
  • Click to create a submission pre-populated with those cards

Entering Grades When They Return

  • Update the submission status to "Grades Posted" or "Completed"
  • The Update Grades dialog appears — enter the received grade and cert number for each card
  • CardZen tracks grading accuracy: how often your estimated grade matches the actual grade
  • Grade options are company-specific (PSA has "Authentic", BGS goes to half points, etc.)

How Grading Links to Cards

  • When cards are added to a submission, their status changes to "In Grading"
  • When the submission completes, cards revert to their original status (inventory or collection) with grade data attached
  • If you capture a graded slab, AI reads the cert number and auto-links to the grading submission (Tier 1 deterministic match — more in the Auto-Linking guide)

Tips

  • Use the Kanban view for a visual overview of where all your submissions stand
  • Enter estimated grades during batch review — CardZen tracks your accuracy over time
  • Grading costs are included in your P&L — they factor into the cost basis of each card
